Successful incident reporting automation

Cloudstorm have helped Deutsche Bahn (the 2nd largest transport company in the world and the largest railway operator and infrastructure owner in Europe with over 2 billion passengers per year) automate incident reporting in their Troubleshooting department involving SAP, Excel & Access databases.

1. The Challenge

Deutsche Bahn has to handle hundreds of thousands of faults every year on its 33,500km long rail network. The Troubleshooting department needed to log in to various systems to find the details for a given incident and to keep data synchronized manually between custom systems and SAP. This is a pattern that occurs in many organizations. Significant time and effort are spent on repetitive, operational activities, such as data entry and double administration. Cloudstorm offered a method to automate those activities by teaching Software Robots to handle SAP, Excel, and MS Access databases. Instead of manual data replication, robots can update system records, prepare and deliver reports just in time.

2. Our End-to-end RPA Solution

Cloudstorm's end-to-end RPA solution has removed the need for data interfaces to be developed between custom systems and SAP and has the flexibility for the company to rapidly change the data feeds – such as adding a new field – quickly and cost-effectively without affecting operations in any way.

3. The Result

Cloudstorm's solution has reduced boring activities for coworkers and thus increase employee morale, handle workload ‘peaks’ automatically 24/7, introduced a near real-time operation, and reduced the number of copy-paste errors.

Cloudstorm created the required automation end-to-end without needing to involve the internal Centre of Excellence and without the need to hire RPA developers. The success of the RPA use-case within the Troubleshooting Department has attracted interest from other functions within the organization and paved the way for further RPA projects in DB Netz.
